Host the CoSA Annual Meeting

Since 2024, the Council of State Archivists (CoSA) has relied on our member institutions to join our team in hosting/co-hosting the CoSA Annual Meeting. Hosting responsibilities are fairly flexible, and CoSA assumes most of the administrative and financial burden for the event. We do rely on the enthusiasm and support of our members to set the tone of the meeting, help lead the Program Planning Committee, and welcome our CoSA community.

  • 2024 - St. Louis, Missouri (co-hosts: Illinois and Missouri)
  • 2025 - Salt Lake City, Utah (host: Utah)
  • 2026 - Columbia, South Carolina (co-hosts: South Carolina and North Carolina)

Hosting
CoSA presents a flexible hosting model for our member organizations, understanding that space and resources vary widely. The following questions focus on identifying the best hosting model to explore.

We would like to serve as the sole annual meeting host.
We would like to co-host and have identified a potential partner.
We would like to co-host but need CoSA to help us identify a potential partner.
Open to host or co-host.

Onsite - we have the meeting space onsite at our Archives to host a meeting of 150-200 people.
Offsite - we do not have the capacity but know a local partner.
Offsite - we do not have the capacity.

CoSA is looking for hosts for 2027 and beyond. The Annual Meeting typically occurs in late September or early October, making every attempt to avoid major holidays and other notable conferences. In addition to the primary event, the Board of Directors and Programming Planning Meeting finds a time in the Spring of the meeting year to conduct a site visit alongside the Board's mid-year meeting.

Think about any major anniversaries, milestones, and commemorations that may be enhanced by CoSA's presence to underscore the importance of your agency. If you're open to any year, please include that information.

This can be as short or long as you like. Note any particular reasoning for the year you've suggested above (if any) or other goals and outcomes you hope to achieve through hosting. Also include here any constraints on hosting that may need to be considered. There is no wrong answer.
